Job Description:

 

Position Summary:

The Personal Assistant to the CEO will play a vital role in ensuring the CEO's daily schedule runs smoothly and efficiently. This individual will provide comprehensive administrative and logistical support to the CEO, allowing them to focus on critical tasks, strategic initiatives, and decision-making. The ideal candidate will be a proactive, detail-oriented, and adaptable professional who can anticipate needs, exercise discretion, and maintain the highest level of confidentiality.

 

Key Responsibilities:

 

1. Calendar Management: Manage the CEO's complex and ever-changing calendar, including scheduling meetings, appointments, and travel arrangements.

 

2. Communication:  Screening and prioritizing emails, calls, and other correspondence. Draft, review, and edit communications on behalf of the CEO as needed.

 

3. Meeting Support: Prepare agendas, presentations, and materials for meetings. Attend meetings with the CEO as required, take minutes, and follow up on action items.

 

4. Document Management: Maintain an organized filing system for important documents, contracts, and confidential information. Ensure documents are readily accessible when needed.

 

5. Expense Management: Track and reconcile expense reports for the CEO, ensuring accuracy and compliance with company policies.

 

6. Stakeholder Liaison: Interface with internal and external stakeholders on behalf of the CEO, fostering positive relationships and representing the company professionally.

 

7. Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.

 

Qualifications:

 

- Bachelor's degree in any field.

- Exceptional organizational and time-management skills.

- Strong written and verbal communication skills.

- Proficiency in office software, including Microsoft Office.

- Ability to adapt to a fast-paced and ever-changing work environment.

- Excellent problem-solving abilities and a proactive mindset.

- High level of integrity and ability to maintain confidentiality.

- Exceptional interpersonal skills and a professional demeanor.

 

Additional Information:

 

- This position may require occasional overtime and travel.

- The Personal Assistant to the CEO will report directly to the CEO and work closely with other members of the executive team.
